Finalizing the Application When you think it's ready to go
final checklist
HAVE THE NARRATIVE PROOFED
With large documents, it is easy to make mistakes, to be repetitive, or to inadvertently omit necessary information. Have a colleague or co-worker read the document for clerical/grammatical error and for cohesiveness.
GO THROUGH THE CHECKLIST AGAIN
Recheck to make sure that all required documents are included in the final packet.
RECHECK THE NARRATIVE AGAINST THE RATING FACTORS
Make sure all items have been adequately addressed.
MAKE SURE ALL FORMS ARE SIGNED
Check to make sure that all forms are signed by the proper officials.
CHECK THE ATTACHMENTS
Flip through the attachments to make sure that all copies are readable and complete.
IF THE GRANT REQUIRES THE OPPORTUNITY
FOR LOCAL RESIDENT INPUT
You must provide proof that the opportunity for input was provided. HUD requires this for its ICDBG grants. In this case, the community must be notified of the applicant's intent to set up a program and provide enough information for the residents to understand what is being proposed, and there must be a way for input to be provided (contact name and address). In the case of the Central Council, if we are working collaboratively on a project with a local Tribe, we normally will ask that they post a summary announcement on their community bulletin board. In that summary announcement, we will include the name, telephone number, address and email address for the department manager. Interested parties can then provide input directly to the person that will be overseeing the administration of the project.
MAKE SURE THAT YOU HAVE FORWARDED THE APPROPRIATE
NUMBER OF COPIES
Some agencies require the original and 2 or more full copies, some require only the original, and others require an original and copies minus the attachments. Make sure you are responsive to their requirements.
MAKE SURE THAT DEADLINE REQUIREMENTS ARE MET
Some fund sources require the the application be posted by a certain date. Others require that the final grant application be in their offices by the deadline. Allow 3 or 4 days if the application must be in the agency offices by the deadline. Agencies are moving towards on-line applications. Check to see if this is the preferred mode of application for the grant that you are pursuing.
